Due to continued growth, we have a new opportunity for an experienced Document Controller/Co-ordinator to join our team based at our Head Office in Portadown.

 

This role is crucial in supporting the flow of technical and project-related documentation, ensuring accuracy, traceability, and timely distribution of design drawings and documents.

YOUR ROLE AS A DOCUMENT CONTROLLER:

  • You will be responsible for the timely, accurate and efficient administration of our electronic Document Management System. 

  • You will support all life cycle changes to operational/projects documentation and drawings; from bulk uploads, to document creation, to review, to issue, to archiving. 

  • Support the team in regard to relative document queries, searching and retrieval.

  • Manage the flow of incoming and outgoing documents, drawings, and correspondences between the design office, production, and site teams.

  • Maintain and update document control systems and ensure all documentation is filed and accessible as per company standards.

  • Ensure the latest revisions of design drawings and technical documents are circulated to relevant departments and archived appropriately.

  • Assist design team in compiling and submitting drawing packages and submittals.

  • Monitor document lifecycle – from creation, review, approval, distribution, and final archiving.

  • Liaise with consultants, subcontractors, and clients to ensure timely receipt and dispatch of project documents.

  • Maintain a document register/log to ensure full traceability and compliance.

  • Assist in preparing reports, schedules, and documentation audits when required.

TO SUCCEED IN THIS ROLE, YOU WILL NEED:

  • A minimum of 2 years’ experience in Document Management Systems including an ERP System.

  • Proficient in IT systems

  • To be proactive, hands on and capable of maintaining attention to detail in your work. 

  • Exceptional organizational and time management skills.

  • Strong attention to detail and accuracy.

  • Ability to handle confidential and sensitive information with discretion.

  • Strong communication skills and the ability to work collaboratively with multidisciplinary teams.
