We are seeking a proactive and detail-driven Bid Coordinator to join our growing team. This role is essential in supporting the Estimating, Business Development & Project Management teams in preparing high-quality bids, tenders, and pre-qualification documents within the Luxury Residential, Fit out, Marine & Theming sectors.

KEY RESPONSIBILITIES:

  • Coordinate the end-to-end bid process in line with client requirements and internal procedures.

  • Review tender documentation, assess requirements, and ensure timely submission of bids.

  • Work closely with estimators, designers, project managers, and commercial teams to gather relevant content and technical input.

  • Assist in preparing compelling bid documents, including technical submissions, company profiles, and project case studies.

  • Ensure compliance with all client instructions and formatting requirements.

  • Maintain a bid library of standard content, CVs, certifications, and project references.

  • Track tender opportunities, submission deadlines, and status updates.

  • Support post-bid activities such as clarifications, presentations, and client follow-up.

  • Support the development of designated client relationships before, between and throughout live projects whilst ensuring we delivery on our commitments. 

  • Gather effective global market intelligence and identify prospective leads across the theming/experiential industry sector and present back to senior management. 

  • Monitor & develop Company Analytics.

  • Maintain the internal business development database.

  • Research future pipeline projects to enable the Company to fully understand project brief prior to tender stage.

  • Organise & participate in company webinars, online presentations using Microsoft Teams and Zoom.

  • Organise company promotional events locally and internationally.

  • Identifying and developing knowledge about application of new technology in the themed attractions industry and sharing this knowledge with colleagues.

  • Develop a visitor agenda to enhance our Head Office visitor experience to ensure it is a valued experience for both the client and Deluxe. 

ROLE REQUIREMENTS:

  • Minimum 2 years of experience in bid coordination or proposal writing, preferably in construction, joinery, or fit-out industry.

  • Strong understanding of tendering procedures.

  • Excellent written and verbal communication skills.

  • High proficiency in Microsoft Office (Word, PowerPoint, Excel) and Adobe Acrobat.

  • Strong organisational skills and ability to manage multiple deadlines simultaneously.

  • Attention to detail, creativity, and ability to produce visually appealing, persuasive documents.

  • A team player with a proactive, can-do attitude.
